Delegate helps an executive keep track of what they have delegated, and follows up by email on their behalf. This page describes exactly what it touches.
What we access
When you connect a mailbox, Delegate requests permission to send mail as you and to read mail. It uses that permission narrowly:
- Sending. Follow-up emails go out from your own address, to the person you delegated to. They appear in your own Sent folder.
- Reading. Delegate reads only messages in threads it started itself, matched by the conversation identifier of a message it sent. No other message in your mailbox is fetched, parsed, or stored.
What we store
- The tasks you capture, including the original text or voice transcript.
- The people you delegate to: name, email, department, job title.
- Emails Delegate sent, and replies it received in those threads.
- Your mailbox access token, encrypted at rest. It is never sent to your browser.
Google Limited Use
Delegate’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically: we do not use Gmail data for advertising, we do not sell it, we do not transfer it to third parties except as needed to provide the service or as required by law, and we do not allow humans to read it except with your explicit consent, for security purposes, to comply with the law, or where the data is aggregated and anonymised.
Artificial intelligence
The text of a capture, and the text of replies in tracked threads, are sent to a language model to extract structured tasks and summarise updates. That provider processes the text to return a result and does not use it to train models. Mailbox contents outside tracked threads are never sent anywhere.
The people you delegate to
They never create an account and are never billed. They receive email from your address and may answer with a one-tap link scoped to a single task, which expires after thirty days or when the task closes. We store their name, email, and the replies they send you.
Disconnecting and deletion
Disconnecting your mailbox in Settings deletes the stored tokens immediately and stops all sending. You can also revoke access at myaccount.google.com/permissions. To have your organisation’s data deleted entirely, email the address below and we will remove it within thirty days.
